WCCUSD VOLUNTEER PROCESS

Becoming actively involved in education at the local level can help influence the direction and quality of learning for all students. Children are dependent on an involved and caring community to have a positive impact on their lives. Your involvement can make a world of difference in the life of a child.  The Board of Education adopted Board Policy 1240 Volunteer Assistance, to ensure our students have the right to learn in a safe environment and remain protected from any form of misconduct by adults on our schools’ campuses.

We are using the Verkada platform for volunteer clearance. Verkada Guest is a web-based software application that integrates the district's visitor and volunteer management systems. The Verkada system will allow staff to track visitors and volunteer. Verkada will allow schools to produce volunteer passes, monitor volunteer hours, and electronically check all visitors as well as volunteers against registered sexual offender databases. The overall goal is to better control access to all WCCUSD facilities, thus providing enhanced protection for our students and staff.

What’s Changing?

  • The volunteer clearance process will now be completed through Verkada at each school site instead of the district office.
  • All volunteers must now submit proof of a cleared TB test or TB risk assessment to their school site front office in order to be approved or to maintain their clearance.
  • Volunteer clearance will now require annual renewal to ensure all records stay current and compliant.

What You Need to Do (Based on Your Clearance Date)

If you were cleared BEFORE July 1, 2025:

If you were cleared ON or AFTER July 1, 2025:

✔ You will need to reapply at your school site using the new application link.  Please complete the volunteer application for your school site.

✔ You must also submit a TB test or TB risk assessment.


✔ NEW: The deadline to submit TB documentation has been extended to November 30, 2025.

✔ You do not need to reapply.


✔ You do need to submit proof of a current TB test or risk assessment to your school site front office to maintain your clearance.

 

Visitor or Volunteer: What's the difference?

VISITOR

VOLUNTEER 

  • Must be under the direct supervision of school staff when students are near
  • May  attend school celebrations, assemblies, performances, and parent groups held during the school day
  • May not work with students in the classroom outside of a special event (i.e. class presentation & celebration), and at that, more than four times in a year or four hours at a time
  • May visit without submission of a TB test
  • May not chaperone field trips

Visitors must work under the direction of certificated staff and may:

  • May set up for school wide events such as dances or field days
  • May support with school-wide projects such as bulletin board set up, garden clean up

 

  • May be allowed to support with small groups of students
    • This would include supervising a group of students for a field trip, or working with a small group of students to one side of a classroom or in a library
  • May not act as substitutes for certificated teachers and should not be alone 1:1 with students
  • Must submit a tuberculosis test as part of the volunteer clearance process
  • May volunteer on a regular cadence, or for periods of time longer than four hours

Volunteers must work under the direction of certificated staff and may:

  • Support in classrooms
  • Support with school-wide projects such as bulletin board set up, garden clean up
  • Set up for/supervise school wide events such as dances or field days
  • Chaperone field trips
  • Any volunteer who drives for a field trip must also submit a copy of a valid driver's license and proof of insurance.

how to visit a school

Visitors are required to use the check-in and check-out system by visiting the schools main office each time you enter and leave a campus. 

how to volunteer

Parent volunteers (Parents/legal guardians) and community members (non- parents) who wish to volunteer at any WCCUSD schools will need a state identification, passport or consulate card to apply.

1.  Submit an application for the school you'd like to volunteer for (click your school below!)

2.  Wait 1-2 weeks for notification regarding your clearance. 

  1. An email will be sent to you indicating that you are cleared, or not.
     
  2. If you are cleared, the email will contain a special QR code. Save the QR code to scan/show at your school's main office.
